Auspicing

Are you an individual artist or a group of artists? Have you found a grant program that sounds perfect for your project idea? If you are not a legal entity, then you may need to have your grant auspiced by an organisation.

Our experience of delivering arts projects since 1997 means that we have the know-how to successfully auspice grants on behalf of individuals, sole traders or unincorporated groups. We have a long history of delivering projects and auspicing grants on behalf of unincorporated groups. WHAT DO AUSPICING BODIES DO?

When a grant applicant is not a legal entity, it is common that the applicant is required to nominate an auspicing body to be responsible for the management of the grant. The primary responsibilities of an auspicing body are to monitor how the grant monies are spent, ensure that the project is completed, that the money is accounted for, and to provide a financial report to the auspicee (grant recipient) at the project’s completion.

WHAT OCTAPOD CAN OFFER AS AN AUSPICING BODY

As an incorporated association, the Octapod Association has the required legal status to receive grants and act as an auspicing body for individuals or unincorporated groups.

Octapod can offer grant applicants a range of resources and services to support their project. The extent of Octapod’s involvement in auspiced projects is negotiated with the grant applicant before lodgement of the grant application form.

Please note that this auspicing service is available to Octapod members only (Legends or Ambassadors).

WHAT SORT OF PROJECTS ARE WE KEEN TO SUPPORT?

All auspice applications are assessed and approved by the Octapod board, and in general we are looking for projects that are based in the Hunter region and address one of our three priority areas: sector, artists, community. That’s a pretty broad brief! So if you have a project idea – get in contact with us to discuss how we might be able to help you.

AUSPICE PACKAGE

Standard Package

Octapod can provide the following services for your project via our Standard Package:

  • Financial services (monitor grant monies, organise payment of invoices + provide a financial report at the end of the project)
  • Basic project management support (to ensure that the project takes place) – a quick 10 minutes of advice here and there.

We may also be able to offer insurance cover for your project. This is decided on a case by case basis and must be approved by the Octapod board. The cost of the insurance cover will be passed onto you plus an administration fee of $50 plus gst.

Octapod also offers access to a scanner/colour printer/photocopier at reasonable rates. Please ask about costs.

Additional Project Management Support

Octapod can offer extra project management support in addition to the Standard Package. This would be negotiated at the start of the project. It is advisable to consider whether you will require ongoing project management support and factor this cost into your budget.

Additional project management support is costed at $49.50 per hour inc gst.

AUSPICE FEE

Octapod charges 10% of grant income for the Standard Auspice Package, plus gst.

HOW DO I ORGANISE AN AUSPICING ARRANGEMENT WTH OCTAPOD?

Step 1: Discuss your project and auspicing requirements with the Octapod Director (Christina Robberds).

Step 2: Fill out the Auspicing Application Form below and return it to Christina via admin@octapod.org. Your application will then be assessed by the Octapod board.

Please note that all auspicing arrangements need to be approved by the Octapod board.

Please allow AT LEAST 6 weeks from the time of first approaching Octapod staff to submitting your grant application. This time frame is required to allow staff sufficient notice to assess the application, grant guidelines and budget; collate supporting materials and gain approval from the Octapod board through the Octapod Chairperson and other board signatories (if required).

Step 3: If your auspicing application is approved, please send your grant application to the Octapod Director for review at least 2 weeks prior to the grant application due date.

Step 4: If your grant application is successful, Octapod will prepare a written auspicing agreement. Once all terms are acceptable to both Octapod and you/your group, the agreement will be signed by both parties and will form the basis of the relationship between yourself and Octapod for the duration of your project.
